The Patient Care Representative (Scheduling) serves as the primary point of contact for patients, caregivers, healthcare providers, and clinical staff seeking appointment-related support. This role is responsible for managing inbound and outbound calls, coordinating appointments accurately, maintaining patient data integrity, and delivering compassionate, compliant, and professional experience in a healthcare scheduling environment.


Main Duties and Responsibilities

  • Answer inbound calls professionally and respond to patient, provider, and caregiver inquiries related to appointments and clinic services.
  • Adhere strictly to HIPAA regulations, data privacy standards, and client-specific scripts and procedures.
  • Schedule, reschedule, and cancel appointments across multiple specialties and locations using client-designated scheduling or EMR/EHR systems.
  • Verify and update patient demographic information to ensure accurate and complete medical records.
  • Provide clear instructions related to appointment preparation, documentation, clinic hours, directions, and provider availability.
  • Capable of thinking critically in assessing call urgency during triage and directing inquiries to the correct department or escalating when necessary.
  • Process call documentation, call logs, and required reports accurately and in a timely manner.
  • Conduct follow-up and outbound calls to reschedule missed appointments and reduce no-show rates.
  • Transfer calls to appropriate departments when necessary while minimizing call handling delays.
  • Handle multiple systems simultaneously while meeting performance targets for quality, accuracy, and call resolution.
  • Participate in quality monitoring, performance coaching, and calibration sessions.
  • Perform other related duties and projects as assigned.

Qualifications

  • At least two (2) years of college education completed.
  • Minimum of six (6) months with healthcare background. Scheduling experience is preferred but not required.
  • Knowledge of HIPAA and proper handling of Protected Health Information (PHI)
  • Excellent verbal and written communication skills with strong listening ability.
  • Ability to multitask, efficiently manage extensive call queues, and work across multiple systems.
  • Strong attention to detail, critical thinking, and sound judgment.
  • Basic computer and typing proficiency.
  • Patient-focused mindset with empathy, professionalism, and confidentiality awareness.

Work Conditions

  • Normal office environment.
  • Willingness to work on shifting schedules.
  • Willing to work on Philippine holidays and weekends if required
  • Open to performing overtime (OT) as needed
